Nuvolo Voice Documentation: How Leera AI Fits Into Your Work Orders

A tech finishes a repair on an infusion pump at ten in the morning. The Nuvolo work order gets its notes at half past four, typed from memory, in the gap between two other jobs.

By then the details are gone. What the pump was doing when it came in. The two things that didn't fix it. The part that did. What's left is a line or two that says the device works now.

Nothing is wrong with Nuvolo in that story. The work order exists, the asset is right, the status is right. What's missing is the part only the technician knew, and it was never going to survive until the end of the shift.

That gap is what Leera AI closes for HTM teams that run Nuvolo.

What is Leera AI?

Leera AI is a voice copilot for HTM technicians. The tech talks through the job while they do it. Leera AI turns that into complete work order notes. The tech reviews them, fixes anything that's off, and approves. Then the notes are written into the CMMS.

Leera AI sits on top of your CMMS and syncs with it via API. It's built to work with any CMMS, and the connection to Nuvolo is live in production today.

How does Leera AI work with Nuvolo?

The Nuvolo work order stays where the job starts and where the record lives. Here is what changes for the tech:

  1. Open the work order on a phone. The same job that's already assigned in Nuvolo.

  2. Talk while working. What the device is doing, what you checked, readings, parts, what fixed it. In your own words, in short bursts, between steps.

  3. Get a draft. Leera AI writes the notes in your shop's format, sized to the job. A battery swap gets a short note. A three-hour troubleshoot gets the full story.

  4. Review and approve. The tech reads it, edits anything, and signs off. Nothing is written to Nuvolo until they do.

  5. The notes land in the Nuvolo work order. The same place they'd go if the tech had typed them, only complete and written while the work was fresh.

Nuvolo keeps doing everything it already does: statuses, assignments, scheduling, PM schedules, contract coverage, reporting. Leera AI doesn't rebuild any of that and doesn't try to. It fills in the one thing a status field can't hold, which is what actually happened.

Doesn't Nuvolo already have a mobile app?

It does, and that matters. Nuvolo gives technicians a mobile workspace to view and complete work orders and checklists in the field, and its 2026 R1 release notes describe offline support for places without signal.

Leera AI doesn't replace any of that. A mobile app gets the work order to the device. The hard part is still the writing. A tech with gloves on, halfway into a pump, is not going to type a detailed repair story on a phone screen. So the note waits. It gets written later, at a desk, from memory, which is exactly where detail goes missing.

Talking takes seconds and doesn't need free hands. That is the whole difference, and it's why voice and a CMMS mobile app sit side by side rather than compete.

Why start with repairs?

Because repairs are where the notes are weakest.

Across multiple service organizations we hear the same thing: repair work orders carry the most inconsistent resolution notes of any job type, and techs spend more time typing on a repair than on a PM. That makes sense. A PM follows a checklist, and Nuvolo already handles checklists well. A repair is a story: the symptom, the troubleshooting, the cause, the fix, the test. Every step of that story is something memory drops by the end of the day.

Leera AI handles PMs too. But if you want to see the difference in your own Nuvolo data, look at your repair notes first.

What about work done by outside vendors?

Vendor-serviced work usually reaches the CMMS as an attachment. The engineer leaves a service report, somebody scans it, and it sits on the work order as a PDF that no report can read.

Leera AI reads the vendor's service report and turns it into a real work order: what was done, which parts, how long it took and, where the report includes it, what it cost. Someone on your team reviews it and approves it before anything is written. From then on, the vendor's work sits in the same device history as everything your own team did, and you can search it and count it.

What does the HTM director get out of it?

A record you can use.

When repair notes are complete and follow one format, the history in Nuvolo stops being a list of closed jobs and starts answering questions. Which units keep coming back. What actually fixed them. How a device was tested before it went back into service, which is the question a surveyor will ask.

It also changes the conversation about the team. Every budget, staffing and contract decision rests on what the work orders say. If they say "fixed, returned to service" a thousand times, the work your team did doesn't show. Complete notes are how it starts to.

Who owns the note?

The technician does, by design.

The tech talks, Leera AI drafts, the tech approves. Nothing reaches Nuvolo without that approval, and the tech remains the author of record. Techs carry the responsibility for what the record says, so they should be the ones who sign it. Leera AI takes over the typing. The judgment was always the tech's.

FAQ

Does Leera AI replace Nuvolo? No. Nuvolo stays your CMMS and your system of record. Leera AI sits on top of it and writes complete, technician-approved notes into the Nuvolo work order.

Do we have to stop using the Nuvolo mobile app? No. Techs can keep using it for everything they use it for today. Leera AI changes how the work order notes get written, not where the work order lives.

Does Leera AI only work with Nuvolo? No. Leera AI is built to sit on top of any CMMS. Nuvolo is the connection that is live in production today. For other CMMS platforms, the connection is set up as part of getting started.

Is voice documentation the same as an AI scribe? It's the same idea, applied to the bench instead of the exam room. A clinical scribe listens to a conversation between two people. A technician usually works alone with a device, so Leera AI is built around short spoken notes during the job, turned into the fields your CMMS already has.

Dima Okhrimchuk is the founder of Leera AI, which builds voice-first documentation for HTM teams. Leera AI is built in the field with HTM teams at major US health systems.
